Privacy Policy

What information do we collect?

We collect information from you when you place a request for a loan of artwork. This information includes your name, as well as the name, e-mail address, mailing address, and phone number of the institution you are representing. You do not have to submit this information in order to use the website; you may always visit our site anonymously.

What do we use your information for?

The information we collect from you is used to determine eligibility for institutional loans of artwork that you have specifically requested. We may also make improvements to our website and program offerings based on the information and feedback we receive from you.

If we enter into a formal Institutional Loan of Artwork agreement with you, that agreement may specify additional ways in which we may use your information, such as inclusion of your institution’s name in the provenance record of the borrowed works. If you wish to limit such uses of your information, please let us know at the time of the loan so that we can design a loan agreement tailored to your specific needs.

How do we protect your information?

We use e-mail as our primary means of gathering applications for loans. E-mail is an inherently insecure means of communication, thus your loan application should never contain any confidential or private information, such as credit card numbers, social security numbers, confidential details about your organization, etc. If you prefer not to apply for a loan via e-mail, simply contact us at info@hamatake.org and request a phone contact instead.

Once you’ve submitted your information (whether by e-mail or phone), it will be archived securely on an institutional Google Drive account that only Foundation officers can access. See Google’s Security on Google Drive site for details. A paper copy of your information may also be produced, which will be physically archived in the Foundation’s secure storage facilities.

Do we disclose any information to outside parties?

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information, except when required to do so by law or to protect other’s or our rights, property, or safety.
